  1. Find the right address

Your policy documents or claim letters list where correspondence goes. Claims and cancellations often go to different addresses.

  2. Lead with your numbers

Put your policy number and claim number at the top, then what happened, what you want and by when.

  3. We mail it

Pony prints it, addresses the envelope and hands it to USPS. No printer, envelope or stamp needed.

Re: Policy [number], claim [number]

Dear Claims Department,

Good to know

  • Standard letters are not tracked and are not certified mail. If you need proof of delivery or must meet a deadline, use USPS Certified Mail instead. Appeals and cancellations often have deadlines, so check your policy.
  • Do not include medical records, a Social Security number, ID copies or bank details.
  • Good for home, renters and auto claim follow-ups, policy cancellations and complaints.
  • If a complaint gets nowhere, your state insurance department also takes complaints, and many accept them by mail.

Questions

Can I mail a health insurance appeal?

Only if it needs no medical records, which Pony does not handle. Appeals also have deadlines, so most are better sent through your insurer’s portal or by USPS Certified Mail.

Can I attach photos of the damage?

Yes. Add up to 6 photo inserts, or upload a PDF with your repair estimate.

How fast does it go out?

We aim to mail within two business days of payment. USPS delivery takes additional days.
